In just about every business today
more and more documents and records must
be made available in ever-shorter time
spans. proALPHA guarantees, with minimum
administrative expense, structured and
uniform storage of all your documents
independent of data type and volume.
That means your entire organisation
(Sales, Engineering Design, Accounting,
Production, Purchasing as well as the
traditional users of document
management, the administrative areas)
each has immediate access to all company
data.
Administrative areas are linked to the
system by way of MS Office or OpenOffice
integration. A proALPHA user can switch
from any of the proALPHA modules
directly into the desired Office
application. All current parameters and
field values, for example, order number,
part number, customer address, or
customer employee, are automatically
transferred. In addition, any new
document is automatically filed to the
correct
folder, that also means it is assigned
to the correct proALPHA workflow
processes.
At this point, the document becomes
available to all authorised proALPHA, MS
Office, OpenOffice and CAD users. This
saves time and minimises the chance of
errors when storing.
Often there are documents, such as
sketches, handwritten notes, or
brochures that exist only in paper form.
In order to reuse or edit such documents
in digital form, they must first be
scanned. This process is also available
in proALPHA's Document Management System
(DMS). Any context-dependent key data
values required for document storage are
directly assigned by the DMS.
The proALPHA Information and Controlling
System (MIS) encompasses the complete
flow of data and information in the
whole proALPHA system. All areas
(proALPHA, Office applications, CAD),
have direct access to all current and
archived data. It is possible to call up
a complete summary of all the documents
created for each process. Extensive
search capabilities exist thanks to the
key codes assigned at the time of
archiving. and then of course, any
document can be displayed, circulated or
printed with just a click of the mouse |
